We will use the information you provide to process your donation and to send you updates about the impact of your support and events that the rest of the Dig Deep community are getting involved in. How long will you keep personal information?

 

We will keep your information for four years for financial auditing purposes. We will check your preferences with you at least every two years to ensure that you are still happy with the way that we contact you.

 

What personal information do you collect?

 

We collect the personal information you provide us with when you make a donation, register for one of our events or make an enquiry via our website or through talking to one of our staff or volunteers.

 

The personal information we collect may include; Title, name, gender and date of birth; Postal address, email address, telephone number and mobile number; Relationships to other donors or organisations if relevant; Details of your donation(s) to the charity and any volunteering you have done in support of Dig Deep.

 

We also collect and hold information about any events you take part in that are organised by Dig Deep. The information we hold will depend on the event you take part in – for example, we will need different information depending on whether you are attending a Gala Dinner or taking part in one of our challenge events. The information that is collected and held, and how it will be used, is clearly detailed in the Terms and Conditions related to each event which you will be given before signing up.

 

Why do we collect personal information?

 

We collect personal information to allow us to administer your donations correctly and to keep you up to date on the work of the charity in a way that you are have consented to and can control. This ultimately allows Dig Deep to help as many people as possible get access to clean water and sanitation.

 

There are some things we need to send you, regardless of your contact preferences, that are essential to fulfilling our administrative obligations to you. These include Gift Aid confirmation letters and querying returned mail, incomplete or bounced cheque/Direct Debit payments with you.

 

What do we do with the personal information we collect?

 

All the information we keep is stored on a secure database that can only be accessed by select members of Dig Deep’s staff team.

 

Depending on your relationship with Dig Deep and the contact preferences you have indicated, we will use this information to process your donation and to send you updates about the impact of your support and fundraising events that the rest of the Dig Deep community are getting involved in.

 

We undertake data screening and cleansing, to check if we have accurate contact details and contact preferences for you. We sometimes use tools to monitor the effectiveness of our communications with you, including email tracking, which records when an e-newsletter from us is opened and/or how many links are clicked within the message. The data from this tracking is used in an aggregated and anonymized form.

 

We also carry out research to help us understand our existing supporters and potential supporters, but this is only be done where we have an opportunity to have significant engagement with you – for example, when you have arranged a meeting with our Director or Board of Trustees. This means that we do not research or profile the vast majority of our supporters. When it is done, this research is undertaken in-house and includes cross-referencing your details with publicly available registers such as Companies House or other information you have published about yourself such as your LinkedIn profile. Who do you share personal information with?

 

We never sell or trade or rent your personal information to anyone.

 

We do disclose personal data to data processors who are carrying out work on our behalf, for example to Zoho Corporation for us to use their CRM and Campaigns systems. Any such companies are acting as approved data processors for Dig Deep, and we retain full responsibility for your personal data.

 

We sometimes transfer data to overseas companies, mainly for the purposes of organising fundraising challenge events. For example, when organising a sponsored climb of Mt Kenya we transfer selected information to trusted Kenyan travel companies. The specific details for how your data will be shared for each event are set out clearly in the relevant terms and conditions, which you will be given prior to signing up. Again, these companies are acting as approved data processors for Dig Deep, and we retain full responsibility for your personal data.

 

We use a third-party financial institution to process our credit card transactions.  They receive the credit card number and other personal information of our donors only to verify credit card numbers and to process credit card transactions in a secure environment. We may disclose aggregate statistics regarding donations to third parties but these statistics do not include any personal identifying information.

 

Do you use cookies?

 

Yes, we do use cookies (small pieces of data stored in a website browser) across our websites to improve their performance and to enhance your user experience. When you visit our websites, cookies allow us to collect some non-identifying basic information. This includes the total number of visitors, the pages viewed, and other anonymous information.
